Administration Assistant

  • Provide assistance to a dynamic team in a developing technology commercialisation company

qutbluebox Pty Ltd (bluebox) is the technology transfer and commercialisation company of Queensland University of Technology. The company is responsible for commercially translating research outcomes developed at QUT, and works with QUT’s staff and students in all disciplines.

bluebox is seeking an enthusiastic, dynamic and capable person to provide administration support to a small team of professionals. Exceptional attention to detail, a flexible and positive client service focus and experience in administrative duties is needed for success in this role.

Duties will include:

  • Ensuring all queries (in-person, telephone and email) are actioned in a timely manner.

  • Coordinating diaries, incoming and outgoing mail, couriers and other deliveries.
  • Maintaining patent, agreement and project records and databases, including filing, tracking, document searching, liaising with patent attorney firms and researchers, and other administrative tasks.
  • Assisting the Marketing and IP Coordinator with day-to-day marketing operations.
  • Providing general office support including word processing, spread sheeting, photocopying and preparation/distribution of meeting papers, forwarding requests for information and collating and other duties as required.

To meet the challenge you will possess:

  • Education equivalent to at least a year 12 standard of education, with post-secondary studies preferred.
  • Minimum of 1 - 2 years experience in an administrative support role.
  • Strong communication, interpersonal and client service skills.
  • Demonstrated attention to detail in matters such as data entry, document handling and filing.
  • Experience in efficiently and effectively managing filing systems and general administrative tasks.
  • Excellent time management and multi-tasking abilities.
  • Computer skills in Microsoft Outlook, Word, Excel and PowerPoint.
  • A can-do attitude and flexibility to thrive in a dynamic organisational environment.

Although not essential, a basic knowledge of intellectual property management and the patenting process would be an advantage.

This is a diverse role that will cover a wide range of tasks across the organisation. The position is full time, and opportunities may exist for further company-supported professional development after a qualifying period.
